Data Protection Statement
letsPool AG (hereinafter "letsPool") places the utmost importance on safe and confidential handling of your data. Data on all letsPool platforms is handled and stored in accordance with the German Data Protection Act (BDSG) and the Telemedia Act (TMG) and is carefully monitored. The following gives you a brief overview of what type of data is stored and why it is stored, how data protection is guaranteed and how you can obtain information about the stored data:
1. User Data
During registration, the member provides information marked as compulsory on the registration form (e.g. Company name, address, e-mail address etc.).
letsPool stores this data together with the date of application or completion of contract, and protects it from being accessed by third parties. This is in accordance with Paragraph 14 Part 1 of the TMG which allows letsPool collect and use such data where it is necessary for establishing, for the substance of, or for modification to the contractual relationship with the Member for the use of the Platform (Master Data) or the storage and use is otherwise legally permitted. The data so collected is stored with your Master Data and is available for use in all future transactions so that you, as Member, can easily log in with your e-mail address and personal password, without having to resubmit your information.
You can view and change the Master Data at any time under “My gP24”.
Furthermore, letsPool collects and uses additional personal information such as name, telephone number, e-mail address, bank details etc. (Master Data) only where it is necessary for the execution of the contractual relationship. The information is collected specifically within the framework of the registration requested by you for completing the membership contract, for purposes of an information request or for the purposes related to the usage of letsPool services (e.g. sale or purchase of material).
2. Storage of Master Data (Registration)
In accordance with Paragraph 15, Part 1 of the TMG, Master Data is all information necessary for the utilisation of the letsPool Platforms and for billing. This provision includes all information that results from the use of the Platform and is necessary for letsPool to provide the individual services. This includes the following information:
- IP address of the requesting computer
- Date and time of access
- Name and URL of the requested file
- Amount of data transmitted
- Report whether the request was successful
- Browser and operating system identification data
This information is stored temporarily in a log file during your visit and use of the Platform.The data is stored anonymously, preventing identification of the user. The storage and processing of data is necessary for the operation of the platform, provides system security, technical administration of the network infrastructure and the optimization of the service. Information and analysis of data is not provided to third parties.
letsPool is, however, entitled to use the data after the end of the user activity in accordance with Paragraph 15 Part 4 of the TMG Act as far as it is required for the purpose of Member billing (Billing Information). In accordance with Paragraph 15 Part 4 of the TMG, letsPool is further authorized to forward Billing Information to other service providers or third parties (e.g. credit card companies) where necessary for the calculation of fees and for Member Billing.
3. Cookies
letsPool uses “Cookies” to provide convenient and safe use of the Platform. A cookie is set when logging on to the Platform and contains a “Session ID” to authenticate the user during activity on the Platform. A further cookie stores the language chosen by the user. Session cookies, such as these are automatically deleted when logging off from the Platform.
Other cookies remain on the user’s PC so that letsPool recognises the PC at the next visit. Cookies are also used, for example, to save the user from having to retype their password for every new activity during use of the Platform and that letsPool can contact the Member personally.
Use of the platform is also possible if the Member does not accept cookies. This may, however, lead to limited usability of the platform, for example, because user name and password is requested multiple times.
4. Right of Access to Data
Each Member is entitled request the information collected by letsPool, at any time and at no cost. The appropriate request can be sent via e-mail.
5. Deletion of Data
Complete deletion of all data stored by letsPool is conducted in accordance with the provisions of letsPool’s Terms and Conditions.
